JOB SUMMARY

Under the direction of the Vice President for University Advancement, the Data Services Manager (DSM) is responsible for the maintenance and proper use of the organization’s The Raiser’s Edge database (RE). This individual will provide support to the University Advancement team in the daily utilization of the RE database by providing skilled support to the fundraising team with an emphasis on gift administration & data management, including gift entry, gift receipting, report management, list queries/exports, database updates and the online/web-based giving presence. This individual will maintain the overall quality and integrity of the RE, including working with Blackbaud support staff to troubleshoot problems with the database and remain current with updates to the system. It is a fast-paced position that requires proficiency with Raiser’s Edge (or a similar donor/alumni database program), Microsoft Excel and Word, as well as a keen eye to detail and the ability to multi-task.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Manage all database information through Raiser’s Edge (RE) and Raiser’s Edge NXT (RENXT) and utilize all features available through the RE contract for MBKU.
  • Create, update and maintain donor and alumni records, complete data entry for gifts and pledges in a timely manner and process necessary paperwork and batches accurately and in accordance with IRS and MBKU guidelines.
  • Manage regular reconciliation and fund alignment with Accounting Office, including posting to the general ledger, documentation for auditors, and fiscal year reports to ensure accounts are balanced.
  • Work collaboratively with development staff to prepare and send donor solicitations, pledge invoices and other necessary gift paperwork for gifts and pledges.
  • Prepare, track, print, and mail all gift acknowledgments.
  • Responsible for uploading of private grant narratives and budgets into the proposal module of RE and budgets and guest lists into the RE events module.
  • Receive, evaluate, verify and update all data changes in RE as they are reported by development, student affairs and other campus staff and faculty.
  • Evaluate, verify and update records based on returned mail, RE Online Express out-outs, constituent self-reporting from and other sources.
  • Search and locate lost alumni and other constituents. Evaluate and verify data whenever needed by telephone, mail, email and other ways to maintain data integrity.
  • Assure the accuracy of data within Raiser’s Edge by utilizing data entry standards and processes to enhance productivity and by performing regular periodic auditing and clean-up of data, utilizing tools like RE Address Finder and Deceased Finder programs to maintain data integrity.
  • Refine and enhance documentation of The Raiser’s Edge for use by the data services manager and other relevant users that gives details as to the ways our organization uses it and why.
  • Create new campaigns, appeals, and events in database and create event registration and donor forms for RE Online Express and the website.
  • Work collaboratively with university IT staff to successfully migrate alumni data annually to RE.
  • Organize and prepare data to prepare Donor Endowment Reports and Donor Impact Reports annually including honor roll, benefactor lists, charts and graphs.
  • Maintain a variety of rosters, including faculty and staff, Board of Trustees, and Committees in RE.
  • Abide by professional confidentiality guidelines by only sharing client information within the organization when it meets the need of the client.
  • Willing and able to evaluate and implement other development technology as needed.
  • Provide RE training and support to other UA and university staff on an “as needed” basis.
  • Other duties as necessary.

QUALIFICATION REQUIREMENTS

  • 2+ years experience in a similar position using RE, RE NXT or a similar donor prospect management system in a non-profit higher education environment.
  • Familiarity and experience with direct mail, monthly and workplace giving and other fundraising techniques.
  • Excellent computer skills and database management proficiency.
  • Detail-oriented, highly organized; able to set and meet goals and deadlines and to produce accurate work.
  • Strong data analysis, organizational, communication, administrative, and computer skills required.
  • Professional attitude; team player; able to collaborate to set and meet team goals and deadlines.
  • Ability to exercise considerable judgment and discretion in establishing and maintaining confidentiality and good working relationships.
  • Ability to collaborate with colleagues throughout the university and external partners.
  • Ability to attend occasional evening and weekend events and work overtime, as required.
  • Excellent interpersonal and customer service skills.
  • Strong written and verbal communication skills.
  • Awareness of the confidentiality of our work

MACHINES,TOOLS,EQUIPMENT,ELECTRONIC DEVICES AND SOFTWARE:

  • Raisers Edge or a similar donor and alumni database.
  • Microsoft Office Suite including Word, Excel, PowerPoint and Outlook.

EDUCATION AND/OR EXPERIENCE

  • Bachelors Degree or 3+ years of experience at a non-profit organization in a similar position.
  • Completion of Raisers Edge or a similar donor and alumni database training.
  • Knowledge of gift types and detailed understanding of IRS charitable giving guidelines.
  • Intermediate or higher-level proficiency in Microsoft Office Word, Excel, Power Point

Preferred:

  • Experience working with an alumni and donor database.
  • Valid California Drivers license and reliable means of transportation.
